Terms and Conditions

These Terms and Conditions set out the agreement between The Maths and Science Tutor ("we", "us", "the Tutor") and the parent, guardian or adult student ("you", "the Client") booking tutoring sessions. By booking a session or making a payment, you confirm that you have read, understood and accepted these terms.

1. Services

We provide private one-to-one and small-group tutoring in mathematics and the sciences, delivered in person or online. Session length, frequency and subject focus will be agreed with you in advance.

2. Payments

• All tutoring fees are payable four (4) weeks in advance.
• Payment is due before the first session of each four-week block. Sessions will not commence until cleared payment has been received.
• Accepted payment methods will be confirmed at the time of booking (e.g. bank transfer).
• Fees are quoted in pounds sterling (GBP) and are inclusive of any applicable taxes.

3. Late Payments

Any payment not received by the due date will incur a £20 administration charge. We reserve the right to suspend or cancel future sessions until the outstanding balance and admin charge are settled in full.

4. Cancellations and Rescheduling

• If you need to cancel or move a session, please give at least 24 hours' notice. With sufficient notice, the session will be rescheduled to a mutually convenient time at no extra cost.
• Sessions cancelled with less than 24 hours' notice, or where the student fails to attend without prior notice (a "no-show"), will be treated as delivered and will not be refunded or rescheduled.
• If the student arrives late, the session will still end at the scheduled time and the full session fee applies.
• If the Tutor needs to cancel a session (for example due to illness or emergency), the session will be rescheduled at no cost to you, or credited to the next four-week block.

5. Technical Issues

For online sessions, if either party experiences a genuine technical issue (loss of internet connection, software failure, power cut, hardware fault) that prevents the session from going ahead or being completed, the session — or the remaining portion of it — will be rescheduled free of charge.

6. Holidays and Breaks

School holidays, planned breaks and time off must be agreed in advance. Where possible, breaks will be accounted for within the four-week payment cycle so that you only pay for sessions actually scheduled. Extended absences may require the schedule to be re-set.

7. Refunds

Prepaid sessions within a four-week block are non-refundable but may be transferred or rescheduled in line with the cancellation policy above. In exceptional circumstances (such as long-term illness or relocation) we will consider partial refunds at our discretion.

8. Safeguarding and Students Under 18

• Where the student is under 18, the contract is between the Tutor and the parent or legal guardian. The parent/guardian is responsible for all fees and for ensuring the student is ready and available for each session.
• For online sessions involving a minor, a parent or guardian should be present in the home and reasonably accessible for the duration of the session.
• All communication regarding scheduling, payments or progress will be conducted with the parent or guardian. The Tutor will not engage in private one-to-one messaging with a student outside of agreed communication channels.
• The Tutor operates in line with standard safeguarding good practice and is happy to provide further information on request.

9. Code of Conduct

To get the best from each session we ask that students:

• Attend on time, prepared, and with any agreed materials or homework completed.
• Provide a quiet, distraction-free learning environment for online sessions.
• Treat the Tutor with respect at all times. Abusive, threatening or discriminatory behaviour will result in immediate termination of services with no refund.

10. Recording of Sessions

Neither party may record (audio or video), screenshot or otherwise capture any part of a session without the prior written consent of the other party. Any agreed recordings are for personal study use only and must not be shared, uploaded or distributed.

11. Learning Materials and Intellectual Property

Any worksheets, notes, slides, resources or materials provided by the Tutor remain the intellectual property of The Maths and Science Tutor. They are licensed to the student for personal study only and may not be copied, redistributed, resold or shared with third parties.

12. Outcomes and Grade Guarantees

We are committed to providing high-quality tutoring tailored to the student's needs. However, academic results depend on a range of factors including the student's engagement, effort and independent study. No specific grade, mark or examination outcome is guaranteed.

13. Tutor Unavailability and Substitutes

In the event of unavoidable absence (illness, emergency, bereavement), the Tutor will give as much notice as reasonably possible and reschedule the missed session, or credit it to the next four-week block.

14. Force Majeure

Neither party will be liable for failure to deliver or attend a session due to events beyond reasonable control, including but not limited to serious illness, bereavement, severe weather, power outages, internet provider failure, or government restrictions. Affected sessions will be rescheduled where practicable.

15. Termination

Either party may end tutoring services by giving reasonable written notice (email or message is acceptable). Any prepaid sessions within the current four-week block will be honoured or refunded at our discretion in line with section 7. Outstanding balances or admin charges remain payable on termination.

16. Data Protection

Personal information shared with us is handled in line with our Privacy Policy and applicable UK data protection law (UK GDPR and the Data Protection Act 2018). You may request access to, correction of, or deletion of your personal data at any time.

17. Liability

To the fullest extent permitted by law, our liability for any claim arising out of or in connection with the tutoring services is limited to the fees paid for the session(s) giving rise to the claim. Nothing in these terms excludes or limits liability for death, personal injury caused by negligence, or any other liability that cannot lawfully be excluded.

18. Changes to These Terms

We may update these Terms and Conditions from time to time. The latest version will always be available on our website, with the "Last updated" date amended accordingly. Continued use of our services after any update constitutes acceptance of the revised terms.

19. Governing Law

These Terms and Conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
